Guide for Security Guards, Maia
Here is a quick guide for security guards on how to use Maia, the building and residential community property management app from Munily.
1. How a Resident Creates a Visit
This process is carried out by the resident through the Munily app.
- Step 1: The resident opens Munily.
On the app’s main screen, the resident will see options such as “Fast Pass,” “Delivery (Delivery),” “Providers,” “Frequents,” and “Packages.” - Step 2: Select “Fast Pass” or “Acceso Frecuente (Frequent Access).”
The resident chooses the option that best suits their needs. - Step 3: Fill in the guest’s information.
A form will appear where the resident must enter the following information:- Full Name: The guest’s name.
- Type of person: Select whether the guest is a visitor, service provider, etc.
- ID number: The guest’s ID number.
- Step 4: Send the invitation.
Once the information is complete, the resident sends the invitation. A confirmation message will appear: “Congratulations! We are currently sending notices to your guests.” The resident must press the “Understood” button.
2. How the visitor enters the association
This process involves the visitor and the security guard.
- The visitor receives a WhatsApp message with the registration link.
The message will include a link for the visitor to fill out their information. For example: “Hi Juan Ejemplo, you have an invitation from U to access Conjunto Ejemplo from 08/27/2025 to 08/27/2026. To activate your access, you need to fill out your information at the following link: https://dlweb.munily.com/EJEMPLO123." - The visitor enters their information.
Clicking the link will open a web page where the visitor must register. They will see fields such as:- First and last name: The visitor’s full name.
- License plate (optional): If applicable, the vehicle’s license plate number.
- A “Continue” button will appear.
- The visitor scans their face using their cell phone.
Next, the visitor will be asked to center their head to fill in a circle on the cell phone screen. They will see the prompt: “Center your head to fill in the circle.” - Arrival at the association’s access point.
The visitor approaches the Maia access device. - Their face is scanned on the Maia device.
The Maia device, which features facial recognition (FACE ID), will scan the visitor’s face. The device will display: “SMILE to SCAN YOUR FACE.” - The system verifies the information in seconds.
Maiawill process the information previously registered by the visitor and compare it with the scanned face. - If everything is correct, the door opens automatically.
Once the identity is verified, the system will grant access.
3. What should the security guard do?
Your role is to assist and guide: Greet the visitor warmly.
- Tell them: “Please bring your face close to the device to enter.”
- If the scan is successful, the door will open and the visitor will enter without any issues.
Remember that your job is to facilitate access and ensure peace of mind for the association.
